Description

FINNS Beach Club is looking for a detail-oriented and reliable Account Payable (AP) Officer that will be responsible for managing the company’s obligations to suppliers and vendors. This includes processing invoices, ensuring accurate and timely payments.

Responsibilities
  • Invoice Processing
    • Receive, review, and verify invoices and payment requests.
    • Match invoices with purchase orders (PO) and goods receipt (GR) documents.
    • Ensure accuracy of billing and resolve any discrepancies with vendors.
  • Payment Management
    • Prepare payment batches in accordance with due dates.
    • Process payments via bank transfer, check, or other payment methods.
    • Ensure all payments are approved according to company policy.
  • Data Entry & Recordkeeping
    • Enter accounts payable transactions into the accounting system.
    • Maintain organized records of all AP documents, including invoices and payment confirmations.
  • Vendor Management
    • Communicate with vendors regarding invoice status, payment schedules, and discrepancies.
    • Reconcile vendor statements and follow up on outstanding balances.
  • Reconciliation & Reporting
    • Reconcile AP ledger to ensure accuracy and completeness.
    • Assist with month-end and year-end closing processes.
    • Prepare accounts payable aging reports and cash flow projections related to payables.
  • Compliance & Tax Support
    • Ensure tax deductions (e.g., VAT, withholding tax) are properly applied and documented.
    • Collaborate with the tax/accounting team for tax filings and audits.
  • Process Improvement
    • Identify opportunities for process improvement in the AP function.
    • Support implementation of digital or automated AP systems.
Qualifications
  • Minimum education: Diploma or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Proven experience in account payable and financial analysis (hospitality or manufacturing industry experience is an advantage).
  • Strong knowledge of cost accounting principles and budgeting processes.
  • Proficient in Microsoft Excel and familiar with accounting or ERP systems.
  • High level of accuracy and attention to detail in monitoring expenses and cost reports.
  • Ability to prepare and analyze cost variance reports and recommend corrective actions.
  • Strong organizational skills with the ability to work under pressure and meet deadlines.
  • Good communication skills to coordinate with multiple departments.
  • Integrity, analytical mindset, and problem-solving ability.
