FINNS Beach Club is currently looking for a highly efficient, discreet, and resourceful Personal Assistant to provide comprehensive administrative and operational support to the Executive at FINNS Bali. This role requires exceptional organizational skills, meticulous attention to detail, and the ability to handle a wide range of tasks in a fast-paced and dynamic environment. The Personal Assistant will be instrumental in ensuring the smooth functioning of the Executive's daily activities and contributing to the overall efficiency of the department.

Responsibilities
  • Manage the Executive's complex calendar, including scheduling meetings, appointments, and travel arrangements.
  • Act as the primary point of contact for internal and external stakeholders, screening calls and emails, and responding appropriately.
  • Prepare correspondence, presentations, reports, and other documents with accuracy and professionalism.
  • Organize and maintain electronic and physical files and records, ensuring easy accessibility.
  • Coordinate and manage logistics for meetings, including preparing agendas, taking minutes, and following up on action items.
  • Assist in the planning and execution of events and initiatives.
  • Handle confidential information with the utmost discretion and professionalism.
  • Process expense reports and manage administrative budgets as required.
  • Liaise with various departments within FINNS Bali to ensure seamless operational flow.
  • Anticipate the Executive's needs and proactively take initiative to address them.
  • Manage personal tasks for the Executive as required, maintaining confidentiality and efficiency.
  • Perform other administrative and operational duties as assigned.
Qualifications
  • Degree in Accounting with proven experience (minimum 3-5 years) as a Personal Assistant or Executive Assistant
  • Experience in handling finance and legal matters is preferable.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Excellent written and verbal communication skills in Bahasa Indonesia and English.
  • Strong attention to detail and a high degree of accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to exercise sound judgment and discretion in handling sensitive information.
  • Proactive and resourceful with a strong problem-solving aptitude.
  • Ability to work independently and as part of a team.
  • A positive and professional demeanor with excellent interpersonal skills.
  • Flexibility to work outside of regular office hours when required.
  • Familiarity with the operations of high-end venues and events is a plus.
  • Having knowledge of NetSuite and monday.com is a plus.
