FINNS Beach Club is currently looking for a highly efficient, discreet, and resourceful Personal Assistant. This role requires exceptional organizational skills, meticulous attention to detail, and the ability to handle a wide range of tasks in a fast-paced and dynamic environment.

Responsibilities
  • Manage the Executive's complex calendar, including scheduling meetings, appointments, and travel arrangements.
  • Act as the primary point of contact for internal and external stakeholders, screening calls and emails, and responding appropriately.
  • Prepare correspondence, presentations, reports, and other documents with accuracy and professionalism.
  • Organize and maintain electronic and physical files and records, ensuring easy accessibility.
  • Coordinate and manage logistics for meetings, including preparing agendas, taking minutes, and following up on action items.
  • Assist in the planning and execution of events and initiatives.
  • Handle confidential information with the utmost discretion and professionalism.
  • Process expense reports and manage administrative budgets as required.
  • Liaise with various departments within FINNS Bali to ensure seamless operational flow.
  • Anticipate the Executive's needs and proactively take initiative to address them.
  • Manage personal tasks for the Executive as required, maintaining confidentiality and efficiency.
  • Perform other administrative and operational duties as assigned.
Qualifications
  • Bachelor’s degree in Law, Legal Studies, or related field, with proven experience (minimum 3–5 years) as a Personal Assistant or Executive Assistant.
  • Prior experience supporting Executives or C-level leaders is highly preferred.
  • Strong background and experience in handling legal documentation, contracts, and compliance matters; experience in finance administration is an advantage.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Excellent written and verbal communication skills in both Bahasa Indonesia and English.
  • Ability to exercise sound judgment and discretion in managing confidential or sensitive information.
  • Proactive and resourceful, with strong problem-solving skills and the ability to work independently or collaboratively.
  • Familiarity with high-end venues or hospitality environments is a plus.
  • Knowledge of NetSuite and monday.com will be considered an advantage.
