FINNS Beach Club is looking for a detail-oriented and proactive Procurement Admin. The Procurement Admin supports daily purchasing and procurement activities across all departments. This role focuses on administrative procurement tasks, vendor coordination, document control, and reporting to ensure a smooth and timely Procure-to-Pay (P2P) process. The position requires strong attention to detail, coordination skills, and the ability to support operational needs efficiently.

- Input and update data in the Procurement Master Report.
- Create and issue Purchase Orders (PO) based on approved Purchase Requisitions (PR).
- Coordinate with vendors regarding delivery schedules and required billing documents.
- Check and verify documents before submitting them to the Finance & Accounting team.
- Maintain and update the vendor database regularly.
- Assist in finding the best price quotations from vendors.
- Ensure proper filing of procurement documents, both digitally and physically.
- Communicate with internal departments to support daily operational needs.
- Minimum Diploma (D3) or Bachelor’s Degree (S1) in Management, Accounting, Business Administration, or a related field.
- Preferably 1 year of experience in Purchasing/Procurement Administration or Finance.
- Able to use formulas such as VLOOKUP, IF, SUMIF, COUNTIF, and Pivot Tables on Microsoft Excel to manage the Master Report.
- Understand the process from Purchase Requisition (PR), Purchase Order (PO), Goods Receipt, until Invoicing.
- Able to perform 3-Way Matching (PO, Delivery Order/GRN, and Invoice) accurately.
- Able to organize digital files (Google Drive/Cloud) and physical documents such as vendor contracts and legal documents.
- Basic/passive English to understand procurement terms and read contracts in English.
- Honest, responsible, and able to keep company and vendor data confidential.
- Careful when checking numbers, item details, and contract information.
- Able to communicate clearly with internal teams and vendors, including follow-ups.
- Able to work independently and take initiative to ensure procurement activities run on time.
